Let's get started ...

The White Christmas Barometer is quivering with excitement - will it be a white Christmas this year? The scent of gingerbread, spruce, and oranges with cloves spreads in several homes. Some may have started to do Christmas shopping and the seat ticket on the Christmas train is booked. In short – while the calendar candle patiently burns down its numbers, Christmas is just around the corner, but we can easily have a little newsletter just before Christmas.

THE EARTH IS COLLAPSING!

… but don’t worry, it’s a long time coming.

In early December, Bo's book “Jorden” (The Earth) in the book series Tænkepauser (Reflecions) was published, which takes us on an in-depth journey through the complex history of our planet and uncovers treasures hidden deep in the planet's rock layers. The book is a thought-provoking tale about the Earth, which is not only our home, but also gives us food to eat, metals to make things from, and wind to get energy from.

Since the publication, Bo has given several lectures about the book. To name a few: Book Thursday in the Royal Danish Library and on stage at Aarhus Theatre in dialogue with Sebastian Dorset.

IMPORTANT DEADLINES FROM NAT-TECH FINANCE

Please note that there are several important deadlines in connection with the end of the year 2023:

  • RejsUd, travel expense settlements an expense claims (and advance) with start date in 2023: January 3
  • Foreign invoices and credit notes: January 5
  • Supplier’s invoices for AU (ordinary flow): January 8
  • IndFak, invoices and credit notes: January 12

STATUS OF recruitment

We are still in the process of hiring three new VIPs. Below you can see the status of them:

  • TT Assistant Professor or Associate Professor in Petrology: External evaluations received and accepted by HoD; interviews on December 20.
  • TT Assistant Professor or Associate Professor in Hydrogeology: External evaluations expected by mid-December.
  • TT Assistant Professor or Associate Professor in Quaternary Geology: External evaluations received and accepted by HoD; interviews om December 19.

BUILDINGS LOCKED BETWEEN CHRISTMAS AND NEW YEAR

Our buildings (1670-1675) will be locked from 23 December until 1 January, 2024. You can still enter the buildings with your key card.

THE SECRETARIAT IS CLOSED FOR CHRISTMAST

The Secretariat on Geoscience is closed for Christmas between 23 December, 2023, until 1 January 2024 (both days included).

THE ADMINISTRATION CENTRE IS CLOSED FOR CHRISTMAS

The Administration Centre at Nat-Tech is closed for Christmas from 23 December 23, 2023, until 1 January, 2024 (both days included).

However, during the holidays, there will be a limited number of staff for building operations and IT support:

  • BYG: Building operations are present throughout the period, but with limited staffing.
  • IT support is open from 9 am to 1 pm on telephone 8715 0944 and for personal attendance on campus (27, 28, 29. Dec.) Other helpdesks are closed.

STATE THE OCCASION IN REJSUD AND INDFAK

In connection with audit 2022, AU received a reprimand relating to failure to provide information about the reason for given costs in connection with procurement and outlays/travel.

Therefore, the reason must be stated clearly in the expense settlement - in the "Settlement name" field when creating a new settlement in RejsUd and IndFak. In addition, it must be clear what the purpose of the expense has been, and the names of all participants in connection with events, meetings, etc. must be provided.

Furthermore, to ensure clarity in the documentation, abbreviations and implied terms must not be used.

GET AN INVOICE FOR AMOUNTS OVER DKK 3.000

The travel expense accounts occasionally receive a till receipt as documentation for a purchase for AU. It is excellent documentation for purchases for small amounts. However, there is a limit to when AU can get VAT refunded on a till receipt, and that is at DKK 3.000. If the receipt exceeds DKK 3.000, AU will be charged by the full amount and cannot obtain a VAT refund.

Therefore, as far as possible, you should get an invoice for amounts exceeding DKK 3.000.

It is possible to attach an invoice as documentation in RejsUd in cases where an AU credit card has been used for payment or in the event of cash outlay. If you choose to have an EAN invoice made, it will be approved in IndFak.

LETTERS ARE GETTING MORE EXPENSIVE IN 2024

As some of you might have noticed in the news, PostNord will introduce large price increases on letters in 2024.

The biggest consequence for AU is that domestic shipments weighing more than 250 grams will be significantly cheaper to send as a package (between 12 og 20 DKK cheaper per shipment ).

In connection, please remember to provide email/or telephone number for packages sent to private individuals in Denmark.

Please also note that stamps/postage codes purchased in 2024 are unlikely to be usable in 2025. It is therefore not a good idea to buy stamps and postage codes in advance.
