GAI

Employees and managers now have guidelines for using generative artificial intelligence (GAI) at AU. By following the 7 recommendations, you will be well-prepared to navigate the landscape of GAI tools with a focus on security, data protection, and source criticism. You can read more about AU’s guide to proper use of GAI here.

The seven guidelines are:
1. Do not use GAI for confidential or sensitive personal data.
2. Remember that you are responsible for the content you use or forward.
3. Declare the use of GAI so others are aware of your method.
4. Be critical of GAI as a source – it can make mistakes.
5. Be aware of bias in GAI-generated content – it often reproduces biases.
6. Only use GAI when regular search engines are insufficient – it's better for the climate.
7. Coordinate the purchase of GAI tools with AU IT and Finance – for economic and security reasons.

All employees have access to Copilot
As an employee, you have access to the basic version of Microsoft Copilot (Microsoft’s GAI chat tool). You can access it via your AU login at https://copilot.microsoft.com/.

The data you enter/upload in Microsoft Copilot will not be stored and will not be used to train the underlying model. However, you should not use Copilot or any other GAI tools for confidential or sensitive data.

Read more and find guides for Microsoft Copilot here.

HAving problems with our buildings?

If you experience problems with the buildings, such as flickering lights, leaking windows, or faulty locks, you are responsible for reporting the issue to Building Services via Dalux.

All other communication with Building Services now goes through Charlotte Rasmussen, but it is your responsibility to report any problems directly to Building Services. If follow-up is needed, you can send the Dalux receipt to Charlotte along with your comments.

TEAMS calls

The main switchboard encourages all employees to be connected to Teams Calls.

If you are unsure whether you have Teams Calls, you can quickly check if you have it or not.

  • Choose "Calls" in the left menu in Teams
  • Click on ”Phone”
  • Here you will see a dialing path
  • Below you can see your work number
  • Your work number is your phone number in Teams
  • If you cannot see a dialing path and your work number, you do not have Teams Calls yet.

If you don’t have Teams Calls, you can get it by contacting your local IT support. They can help set up a Teams phone number for you.

Read more about Teams Calls here.

PARENTS@NAT-AU

Parents@Nat-AU is a newly established network for pregnant/future parents among researchers, as well as researchers with small children (nursery/kindergarten), who are returning or have recently returned to work at the Faculty of Natural Sciences (Nat).

The purpose of the parent network is to provide a social forum where researchers can exchange experiences about being a parent in Aarhus and being a researcher on leave or returning to academia.

Parents@Nat-AU organizes a monthly gathering, which currently takes place on the last Monday of each month from 10:00 to 12:00 in Building 1525, Room 626 (Physics and Astronomy). Children and partners are more than welcome to attend.

IT Travel Kit for High-Risk Countries

Currently, AU recommends using an IT travel kit instead of your own AU IT equipment when traveling to high-risk countries. However, it is important to note that this is a recommendation and not a mandatory guideline.

An IT Travel Kit is a set of IT equipment specifically designed for business trips to countries with high security risks. The kit includes a laptop and a mobile phone, both configured to protect AU data from unauthorized access.

To obtain an IT travel kit, you must submit a request in the Cherwell support system stating that you wish to borrow a computer for travel to high-risk countries 2 weeks before the planned trip.

new colleagues

TOVE STENHOLT NIELSEN

Dear new colleagues

My name is Tove, and I am the new secretary at AU, Department of Geoscience.

My recent position was as an education and research secretary and personal assistant for the head of education at the Department of Cancer, Region Hospital, Gødstrup. From 2013 – 2018 I have been employed as an institute secretary at AU, Department of Food Science.

I am comfortable in the role as a secretary in academic environments.  The field within education has my special interest, and I find it very meaningful to support the work at a science and education institution.

As a person I am positive and extrovert. I like being in active environments with a big surface of contact to both students and employee groups at all levels.

I live in a small village, Funder Kirkeby – about 6,5 miles west of Silkeborg (also called the Outdoor Capital of Denmark). You can meet me here wearing hiking boots and a backpack on a hike with my dog, Kimbo. He is a lovely and always hungry lab. I also hike longer routes. Currently I hike the Hærvejen route in daily stages at weekends all the way through Denmark from Hirtshals in northern Denmark to Padborg in the southern Denmark. Next years goal is hiking in Scotland in my summer holidays.

You can also find me joining music concerts - I listen to a lot of music – and preferably not mainstream.

In addition I try to keep my body and mind sharp – I practise yoga and strength training, as my baptism certificate reveals, that it is no longer a question of looking good – it is now a question of being functional.

Thank you so much for the warm welcome – I am looking forward to be part of AU, Department of Geoscience and hope I can contribute with my skills.

JAMES SCOTT

I was previously employed in New Zealand, where I come from, since 2013 and my website is still alive for the time being . Here, I taught and researched metamorphic petrology and tectonic processes.

I have supervised more than 60 post-graduate research projects and am very much looking forward to meeting the student cohort and working out how we can do some exciting petrological research in Norway and Finland.

I have spent the last 2 years in Germany, first on sabbatical and then on a Fellowship. However, as of Sept 1st, I will be the new metamorphic petrologist here at Aarhus!

My current interests are mantle rocks and meteorites (including some from Mars), but I have wide interests that span low to high geochemical processes. I am also looking to build a meteor camera network in Denmark and, hopefully, Greenland. Finally, I would love some Lego for my small children, if anyone has any that they’d like to donate or sell!

JONAS FOLMER DAMSGÅRD

Hi, my name is Jonas! I just started in a phd position with Vivi as supervisor.

I will already be a familiar face to some as I have completed both my bachelor and master at the department. My phd research will focus on modeling of ice-sheet and landscape evolution in Greenland.

I am looking forward to working at the department and meeting the rest of the staff.

ANDREAS DUUS PETERSEN

I have been a student here at the department and I am excited to work on the Rising Sea project during my PhD.

The project involves mapping paleolandscapes in the North Sea using reflection seismic data to investigate how rising sea levels will affect our coastal and low-lying areas.

When I’m not at the computer, I love being active and getting out into nature.

DO YOU HAVE A GOOD STORY?

Have you published an exciting article? Have you participated in a podcast? Have you received a grant or something else that could be interesting news either on the website or in the newsletter?

Then write to Kathrine Eg and she will fix it.
