Stop using microsoft explorer

Microsoft now warn users against a critical vulnerability in the browser Internet Explorer. AU’s information security department follows the recommendation and asks all members of staff and students not to use Internet Explorer until the error is corrected.

Security risk when using Windows 7

IT-support needs to identify all Windows 7 PC’s on the AU domain. As Microsoft stopped the updates to that system by January 14. 2020, they pose a security risk.

If you have a Windows 7 PC, and have not yet been contacted by IT-support, please contact them as soon as possible

New advisor at NAT

Marit-Solveig Seidenkrantz has been appointed advisor to the Faculty of Natural Sciences within responsible research practice and research freedom.

Secure print

All employees are encouraged to change their default printer setup to "Secure print"

Instructions can be found on the AU webpage

Choose: "Configuration and use of Secure print on Xerox - for PC"
(for the printer in the staff room in building 1672)

By using the secure print feature, we avoid a lot of error prints - and there are many!
We also ensure that documents with sensitive information is not left in the mailroom for everyone to see.

Change of rooms

Changes were made to some of the rooms in buildings 1671 and 1672.

From now on, there are 3 meeting rooms in building 1670-1675:

1671-234
1672-114 ( previous joint office)
1672-238

1671-123 was changed from meeting room to joint office with room for 1 person.
1671-119 used to be Nicolaj's office and is now a joint office with room for 3 people.

New calendars have been created in Outlook for those rooms with changed status.
It is necessary to delete the old calendars from your personal list of calendars and search for the new ones to avoid double booking the rooms.

Massages by "Sundhed med Mening" will take place in meeting room 1672-114.

Video conference equipment

Our TV screen and iPad for conference calls is placed in meeting room 1672-114.

The equipment also has a calendar in Outlook, where you can book it.

Name of the calendar:Videokonference Aarhus GEO.

WorkZone quickguide

A quickguide for the use of WorkZone has been made.

At Geoscience we made our own version of the quickguide, which can be found in both Danish and English on the Geoscience staff portal.

Introduction day

Friday 20 March an introduction day for new employeees at AU will be held.

All new employees are encouraged to participate in AU's introduction days, which will be twice a year.

The event is for all salaried employees - teachers, PhD students, researchers, secretaries, caretakers, consultants, project employees, cleaning staff, etc.

At the introduction day, the new employees will meet the senior management at AU, and be introduced to the university's overall strategies and values. There will be an opportunity to gain insight into the organisational structure, liaison committees, the union representatives, and rules and guidelines for employees at AU. The new employees also gain the opportunity of creating their first network of colleagues in the organization. Furthermore there will be given special aimed information for respectively academic staff (VIP) and technical-administrative staff (TAP).

Programme and registration

Zero tolerance for offensive behavior.

The Department of Geoscience has zero tolerance for all types of offensive behavior.

In general:

  • Be considerate towards everyone
  • Respect the people around you
  • Consider that what you say or do can be misunderstood

If you observe offensive behavior, you are expected to help the person AND contact the nearest manager, occupational health and safety group, daily occupational health and safety manager, union representative, head of department or HR partner.

LOC has a new machine

A new Pyrolysis Gas Chromatography Spectrometry has been installed.

This new machine makes the Lithospheric Organic Carbon (LOC) of an incredible capability of analysis of organic carbon at the molecular level in the wide range of geological and environmental mediums.
The new PyGCMS can be used effectively in soil and recent sediments research as well as deep lithospheric organic carbon studies.

The system will be operated by Arka.
We are happy giving tour of the lab for those interested.

Procedure for EU time sheets

Due to ambiguities about handling EU time sheets, AU Economy has issued the following procedure:

  1. The project finance administrators at Nat-Tech Economics pre-fills master data on the time sheets for EU projects and other projects that require hour registration.
  2. After that, it is the responsibility of the grant holder that hours are recorded on the project and that these time sheets are handed over to Nat-Tech Economy before accounting is required.
    You may want to submit time sheets to your project economist on an ongoing basis to prevent an employee from stopping without handing in his/ her time sheets.
  3. In addition, the grant holder must sign time sheets for the employees who have worked on the project and / or obtain the signature of the head of the department for the hours the grant holder has worked on the project.

Student symposium 2020

21 -23 February, the students at Geoscience AU host the annual Geological Student Symposium, where GEO students from the Nordic countries visit, network and debate GEO topics.

Correct authorship on articles

It is important to indicate correct authorship on articles: Proper mention of authorship contributes to the credibility and transparency of research and is thus a key element in the development of responsible research practice.

Remember to include all relevant people, either as co-authors or in a section with Acknowledgments. This includes technicians, laboratory technicians and other staff who have contributed significantly to the work.

New lab users

Remember, all new lab users must undergo safety instruction with Charlotte and complete a short safety course on Blackboard (Charlotte provides access).

Use of glasses in the labs

If you often wear glasses / contact lenses in the laboratory, you should acquire safety glasses fitted with corrective lenses.

Limited staff in the labs

Considering limited staff in the laboratories from February 1st 2020 we need to optimize lab-use for all, among other reasons to ensure the workflow of students:

  • Purchasing lab consumables (for research and educational purposes) will be carried out once per week by Trine, normally on Fridays. We do not have resources to monitor supplies in laboratories or storage rooms, you must give us fair warning to stock up for your needs. You simply e-mail Trine with relevant information (amount, concentration/size/other, item number, vendor, your project and activity number).
  • Courses that need lab technician support (either for preparatory work, during lab practicals, or after) must be coordinated with the lab manager well in advance. Trine and/or Charlotte will be assigned for a lab course. Contact Charlotte to coordinate.
  • It is obligatory that all courses involving laboratory-use as a minimum will start with a brief introduction by Trine on Basic do’s and don’ts. Contact Charlotte to coordinate.

Brexit news

BREXIT – important issues concerning British citizens staying in and coming to Denmark

  • British citizens residing in Denmark up to Brexit are allowed to stay in Denmark after Brexit without problems.
  • British citizens residing in Denmark up to Brexit, who have not yet applied for – or have lost – their EU residence certificate, are encouraged to apply or reapply for the certificate as soon as possible. You can apply or reapply for the residence certificate after Brexit, but please be aware that the Danish authorities might require extra documentation that you in fact entered and took up residence in Denmark before Brexit.
  • If Aarhus University employs a British citizen or allows them to come here as guest researchers or guest PhD-students for a shorter period, they are regarded as non-EU citizens. This means that a work and residence permit is required before entering Denmark, like for all other non-EU citizens. Please note that the case handling and processing time when applying for such permits are longer than for EU citizens.
  • If the stay in Denmark is less than 3 months, it is not quite clear, whether British citizens are exempt from visa requirements or if a visa is required before entering Denmark. We hope – and expect – that British citizens will be exempt from visa requirements.
  • If British citizens residing in Denmark want to travel outside Denmark (vacation or other types of travelling) after Brexit, it is important to bring the EU residence certificate while travelling. Bringing the residence certificate enables you to prove that you have the right to enter/reenter Denmark and that you are legally residing in Denmark according to EU regulations.
  • If British citizens give up their residence/address in Denmark and take up residence outside Denmark, the right to reenter/return to Denmark according to EU regulations will no longer apply. In that case, a work and residence permit must be applied for and granted before you can enter/return to Denmark again.

IT safety when travelling

The Danish Center for Cyber Security has published a manual with safety recommendations for the use of IT equipment while travelling.

The 6 basic advice:

  • Avoid public Internet connections to exchange and access sensitive information
  • Never use unfamiliar IT equipment to exchange and access sensitive information
  • Always keep your IT equipment under observation
  • Never connect unfamiliar USB devices or power chargers to your IT equipment
  • Never lend your IT equipment to strangers
  • Always change your passwords for the services you have accessed during your trip when you return home
