Our cars

  • BA 15 492: Mercedes - bus (driver + 8 passengers)
  • CG 81 493: Renault Trafic - bus (driver + 8 passengers)
  • CF 86 655: Renault Trafic - bus (driver + 8 passengers)
  • CA 51 841: Renault Scenic - car (driver + 4-7 passengers)

These cars all have a calendar in Outlook where you can check reservations.

Permission to drive

  • The rules about who can drive the University's cars can be found on Au's page about Use of official cars
  • How to get a driving permission for students is described on the Geoscience study portal
    Please note that driving licenses are only granted to students studying at the Department of Geoscience.
    When used by other departments/ centers, the cars may only be driven by employees.
  • Any fines, including parking fines, speeding fines, etc., are the personal responsibility of the driver of the car.

Insurance coverage


  • Driving in Danmark: Covered by Government self-insurance. In case of damage, the expense is apportioned as follows: GEO projects cover damage of up to DKK 10,000, the department covers the rest.
  • Projects from other departments cover the entire expense of any damage.

Going abroad: Be sure to draw a liability insurance before departure.

  • Employees are covered in connection with work-related business - Private drive not allowed.
  • Students with a driving permission for study-related activities are covered. No private drive allowed.

NOTE: Students being passengers in the car are not covered and are advised to take out a private insurance.

How to book a car

Contact the secretariat: to book a car

When booking a car, you MUST inform:

  • Name of the driver
  • Time and date of booking
  • Destination
  • Purpose
  • Unit number
  • Project/ case number and name
  • Activity/ case task number
  • Name of controller

​​​​​​​The car key can be picked up at the secretariat in building 1672 Monday to Friday between kl. 8 and 15.
When returning later than kl. 15, the key must be returned using the mailbox found by the goods delivery door inside building 1675.



  • Geoscience staff: DKK 5/km
  • Non-Geoscience users: DKK 6/km.​​​​​​​

  • Accidents/ Damages
    In Denmark: Contact the police urgently
    Outside Denmark: Contact the police urgently - and contact the insurance company
    When you return to Geoscience, damages must be reported in writing to the department

    If necessary, contact the secretariat:


  • Return on time!
    A one-day reservation ifsfor 1 day only! You MUST return the car by the end of the very same day. It may be booked by another user from early next morning
  • The logbook (kørebog)
    Can be found in the glove compartment. Write readable, please!
    Don't forget to fill in the purpose of your trip
  • Before leaving the car
    Clean up and take your stuff with you
    Check that light is off - outside and inside
    Fill up with adequate fuel - possibly also oil, water and AddBlue - to make it ready for the next user
    Defects should be reported to the office when you return the key
  • Key, fuel card/receipts
    All should be returned to the secretariat immediately
    If return is after office hours, drop the key etc. in the grey mailbox on the wall opposite the entrance door from the parking lot.
    Access to the building with key card and code
